Hybrid workplace policy

TaxBooksCFO works in a hybrid model. We come together in person for the work that benefits from it, and work remotely for focused, client-ready delivery, with client data protected wherever we are.

1. Purpose and scope

This policy describes how TaxBooksCFO team members split their time between in-person and remote work. It applies to employees and, where their agreements say so, to contractors and collective members working with TaxBooksCFO clients.

2. How the hybrid model works

  • In-person days. Team members are typically on-site two days per week, at our office or a client location, on days agreed with their team lead. Teams usually align their days so collaboration time is shared.
  • Remote days. The remaining days are worked from an approved remote workspace.
  • Flexibility. Schedules may shift around filing deadlines, quarter-end close, client meetings and transactions. Team leads confirm any change in advance.
  • Role fit. Some roles need more or less time in person. Arrangements are agreed individually and recorded in writing.

3. Availability and communication

  • Team members are reachable during core hours, 10:00 to 16:00 Eastern, on every working day.
  • Calendars show location (on-site or remote) and focus time.
  • Client communication follows the same response standards whether working on-site or remotely.
  • Team check-ins and one-to-ones continue on a regular schedule, in person or by video.

4. Remote workspace and equipment

  • A quiet, private workspace where client information cannot be seen or overheard.
  • A reliable internet connection and a working headset or microphone for client calls.
  • Company-provided or company-approved devices for client work. Equipment and any expense reimbursement are set out in the individual agreement.

5. Client confidentiality and data security

We handle sensitive tax and financial information, so these standards apply in every location:

  • Use only approved, encrypted devices with automatic screen lock and multi-factor authentication.
  • Access client files only through approved systems. Do not store client data on personal drives, personal email or removable media.
  • Do not work on client matters over public or shared Wi-Fi without an approved secure connection.
  • Keep screens and papers private, lock devices when stepping away and dispose of printed material securely.
  • Report any lost device, suspected breach or misdirected data to support@taxbookscfo.com immediately.
  • Follow applicable IRS and FTC data-safeguarding requirements and the terms of each client engagement.

6. Working from another state or country

Where someone works can affect tax, payroll and licensing obligations. Please get written approval from your team lead before working from a different state or country for more than a short visit.

7. Health, safety and wellbeing

We encourage a comfortable, ergonomic setup, regular breaks and clear boundaries between working and non-working hours. Please tell your team lead if something about your setup or schedule is affecting your work or wellbeing.

8. Fairness and review

Hybrid arrangements are applied consistently and do not affect evaluation, development or advancement. This policy is reviewed at least once a year and may be updated as our teams and clients' needs change.

9. Questions

Questions about this policy can go to your team lead or to support@taxbookscfo.com.
